A property management office in Bratislava handled resident communication for a growing portfolio of mixed-use buildings with a team of just two administrators.
The volume was manageable at first, but as the portfolio grew past a dozen buildings, the same questions arrived dozens of times a day across email, phone, and messaging apps: gate codes, bin collection schedules, maintenance request status, and how to book the shared meeting room. Every question required someone to stop, search through a folder of building manuals and HOA rules, and reply manually — and after-hours messages simply waited until the next morning, which frustrated residents who expected a same-day answer. Hiring more administrative staff wasn't in the budget, but the office's two-person team was clearly at capacity. They approached AION Networks, who already managed several of the buildings' access systems.
AION built an AI communication assistant trained on each building's actual house rules, service procedures, and access records, deployed directly into the messaging channels residents already used. Routine questions were answered instantly, at any hour, with information specific to that resident's building. Anything outside routine — a dispute, a genuine maintenance emergency — was automatically routed to the human administrators with full context attached, so no one had to re-explain their situation.
The office found that resident satisfaction improved almost immediately once after-hours questions stopped going unanswered, and their two administrators could finally focus on the requests that actually needed a person's judgment. AION continues to expand the assistant's knowledge base as new buildings join the portfolio and house rules are updated.
